Executive Assistant

We're looking for an Executive Assistant to support our CEO and Deputy CEO by managing schedules, coordinating travel, handling communications, and ensuring smooth day-to-day operations. This role is ideal for someone who enjoys being the right hand to executive leadership, maintaining confidentiality, and keeping everything running seamlessly.
Key Responsibilities
Executive Support & Scheduling
Manage professional and personal scheduling for the CEO and Deputy CEO, including agendas, emails, calls, and travel arrangements.
Oversee complex calendar management, ensuring efficient coordination of meetings and information flow.
Plan, organize, and facilitate executive functions, including hospitality needs for company guests.
Prepare itineraries, arrange transportation, and coordinate travel details for executives and VIP guests attending external events.
Communication & Coordination
Act as a liaison between senior executives and internal/external stakeholders, ensuring clear and timely communication.
Draft and prepare correspondence for both internal and external announcements.
Support the executive team by creating reports, presentations, and documents in Word, Excel, and PowerPoint.
Organize and prioritize tasks to align with executive and organizational goals.
Administrative & Office Management
Perform a variety of administrative and office support tasks to keep operations running smoothly.
Manage expense reports, benefits, and tax-related documents for the executive team.
Oversee conference room scheduling and assist with meeting setup and breakdown.
Assist with planning and coordinating company events, such as holiday parties and employee appreciation activities.
Monitor office and lounge supplies, ensuring they are fully stocked and organized.
Support the maintenance and restocking of office common areas, including breakrooms and food supply stations.
Distribute incoming mail to the appropriate recipients.
Additional Support
Handle personal errands for the executive team as needed.
Maintain professionalism and strict confidentiality at all times.
Assist with special projects and department initiatives as assigned.
Who You Are
Highly organized, detail-oriented, and proactive in managing multiple tasks.
A strong communicator with excellent writing and interpersonal skills.
Skilled in handling confidential information with discretion.
Comfortable working independently while being a collaborative team player.
Proficient in Microsoft Office (Word, Excel, PowerPoint) and other productivity tools.
Adaptable and flexible to changing priorities in a fast-paced environment.
